Privacy Policy of California Association of Orthodontists

Last updated: October 16, 2026

The California Association of Orthodontists (“CAO,” “we,” “us”) operates caortho.org. This policy explains what information we collect when you visit the site, how we use it, who we share it with, and the choices you have.

Information You Give Us

We collect information you provide directly, such as when you contact us, log in as a member, or order brochures. Depending on what you do, this can include your name, email address, phone number, practice name, mailing address, and order details. Payments are processed by our payment providers (Authorize.net and WooPayments). We do not store full card numbers on our website.

Information Collected Automatically

When you visit the site, our servers and the tools described below collect technical information such as your IP address, browser type, device type, pages viewed, time spent on pages, and the site that referred you.

Cookies and Similar Technologies

We use cookies and similar technologies to make the site work and to understand how it is used. These fall into two groups:

  • Functional: needed for the site to work, such as keeping members logged in, running the shopping cart, and remembering your cookie choices. These cannot be turned off.
  • Statistics: Google Analytics, which helps us understand how visitors use the site.

Google Analytics

We use Google Analytics 4, a web analytics service provided by Google LLC. It uses cookies to collect information such as pages visited, time on site, approximate location, device and browser type, and how you arrived at our site. Google processes this information on our behalf to give us reports on site activity. You can learn more in Google’s explanation of how it uses data from sites that use its services. You can opt out of Google Analytics on all websites by installing the Google Analytics Opt-out Browser Add-on.

Other Third-Party Services

  • Google reCAPTCHA protects our forms and checkout from spam and abuse. It collects hardware and software information and sends it to Google.
  • WooCommerce order attribution records how you arrived at the site (for example, from a search engine or social media) when you place an order.
  • Vimeo hosts some of our videos. When you play an embedded video, Vimeo may collect information about your viewing.
  • Google Maps may display maps on some pages. Maps do not load until you allow optional cookies.

How We Use Information

We use information to respond to your inquiries, provide member services, process brochure orders, operate and secure the website, understand how the site is used so we can improve it, and measure our communications and outreach.

How We Share Information

We share information with service providers who help us run the site and our organization, including our website host, payment processors, and the analytics tools described above. We may also disclose information if required by law or to protect the rights and safety of CAO, our members, or others. We do not sell your personal information or share it for targeted advertising.

Your Choices

  • Opt-Out Preferences: You can turn off analytics cookies at any time on our Opt-Out Preferences page, also linked in the site footer.
  • Browser settings: Most browsers let you block or delete cookies. Blocking functional cookies may prevent parts of the site, such as member login and checkout, from working.
  • Google Analytics: Use the opt-out option described above.

Children’s Privacy

Our site is intended for orthodontists, their teams, and the public, and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.

Security

We use reasonable measures to protect your information, but no method of transmission over the internet or electronic storage is completely secure.

Links to Other Sites

Our site links to other websites, such as the American Association of Orthodontists’ Find an Orthodontist tool and our social media pages. Those sites have their own privacy policies, and we are not responsible for their practices.

Changes to This Policy

We may update this policy from time to time. When we do, we will post the new version here and update the date at the top.
